A checklist is a list of items you need to verify, check or inspect. Checklists are used in every imaginable field — from building inspections to complex medical surgeries. Using a checklist allows you to ensure you don’t forget any important steps.

You should verify you are meeting the intent of every item on your checklist and possibly take notes, photos, audio, video or audio recordings related to that item.

Here is a safety audit checklist, a flight take-off checklist, and a Crane Operation Checklist.

There is no perfect checklist, but if you follow these simple steps, you should be on your way to a rigorous and reliable checklist. You can also use our great iPad and iPhone application to manage your checklists and audit and inspection results. (LINK).

1. Make each item clear and concise.

It is important that each item on your checklist is easily understood by the person using the checklist. What is a checklist if no one can understand it? Each item should also be concise to ensure it is as easy to use as possible.

2. Group your items by category.

Short checklists don’t need categories, but longer ones can quickly get out of hand. By organising your items in categories, you can quickly navigate to the portion of the checklist that you are working on. Don’t over organize and be sure to use simple category names to ensure you can quickly find the checklist item you are looking for.

3. Make each item actionable.

This is very important. The power of a checklist is that you can take action on each item and ensure you are meeting the intent of that item. If your checklist items are too ambiguous or vague, you will tick the box, but will you have really completed it? Saying things like “Check Safety Exits” is too vague, you should try breaking it into smaller items, such as “Check safety exits are clear of obstacles”, “Check safety exit signs are illuminated”, “Check safety exit doors open properly”… By breaking down items into action, you make your checklist much more powerful.

4. Don’t skip anything on the list.

What is the purpose of a checklist if you skip questions or categories? It is important that your checklist be used fully each time, if you find yourself skipping questions, you should ask if the checklist is properly formatted for your purposes.

5. Ensure your notes, evidence or other results are used to improve performance.

Some checklists are just tick-boxes to be completed, but you can certainly have richer checklists that allow you to identify follow-up items. For each item, you can reply in the affirmative (yes), negative (no), not applicable (n/a) or mark as incomplete. You should also be sure to take notes that indicate what could be improved. If applicable, photos, video or audio evidence should augment your checklist findings. Lastly, you can always identify next steps for correcting any items you have had trouble with. And remember, a checklist should constantly be improved as you use it.

So, what is a checklist? It is certainly not a simple list of questions, a checklist is a detailed number of concise and actionable items that can be used repeatedly to identify weaknesses or lapses in your process and ensure you stay on top of all those pesky details.

Best of luck with your audits, verifications and checklists and please contact us if you would like to add your favourite checklists to wikichecklists.com.

We have just launched a new feature on the Nimonikapp site. When you hover your mouse over a Legislation Title in the legislation list, you will see a small description of the legislation name. Also, if you compile a register based on legislation, we will automatically pull these descriptions into the notes section of your register so your register offers you more than a simple list of tracked legislation. We are progressively adding descriptions in across jurisdictions, but you should see most of the Federal and Ontario acts have been described, Quebec, BC and regulations to follow.

Here is a screen-shot where we hovered over the Ontario Building Code. To try this out for yourself, visit the site, or sign-up for a free account today.

In Nimonik, we offer a centralized calendar with most of the important environmental dates. This feature gives you quick access to updates, reporting dates and your permits. We were not happy with the way it looked, it was not using the screen space efficiently and was just plain ugly. So, this weekend, I scratched this itch. Take a look at the before and after.

We have recently completed a new feature in Nimonik. Our “Dates” function allows you to see a calendar of important environmental dates. Three types are displayed

Legislative updates are mentioned based on the date written and date in effect.

Important reporting dates are on the calendar (NPRI, GHG, Hazardous Materials…).

Any documents you upload to your facilities are posted to the calendar as expiration dates approach.

See this video to better understand the new feature. Let us know what you think!

P.S. Soon, you will be able to synchronize the calendar with your desktop application (Microsoft Outlook, iCal, and others).

We work in environmental law, but we are also web experts. Designing for the internet and it’s wide variety of users is very challenging, no one does it perfectly. That being said, it is becoming indispensable to design websites well. Users have many places to go for information, if you do not design well, they will just click on out of there. The Globe and Mail, Canada’s premier newspaper just redesigned their website and my verdict is: Disaster.

The previous version was not amazing, but this is truly a mess.

Below is a screenshot and here are a few notes. My main complaints, as a web designer and usability professional are:

Four!, different ways to navigate the site (see blue lines). More is not better, it is confusing.

Hideous banner as the first thing you see. I understand the need for advertising revenue, but this comprimises the entire reader experience – thus reducing readership and advertising. (see red lines)

Red headlines and Black headlines – consistency?

Red lines to seperate articles – drawing your attention to the lines instead of the articles

Confusing search options

Over 10 unique colours on the various design elements – 3 or 4 is the maximum.

Drop down menus where the top link acts as a link! It should only trigger the drop down or don’t do a drop-down.

I could go on. But, largely, this redesign looks like it was done on a small budget with no high quality designers. The Newspaper industry is dying because of bad design, see our post on saving newspapers through great design.

The best use of the internet to deliver newspapers is the recently released New York Times Reader (not the website). It is a truly well designed software that makes reading online as pleasurable as the print format.

The Globe and Mail is destroying it’s credibility with this low quality production.
